Minutes of Business Meeting for Worship:

Santa Fe Monthly Meeting of Friends, 21st day of Sixth Month 2009

Present:
Peggy Giltrow, David Giltrow, Mary Ray Cate, Kathleen Burke, Philip Balcombe, Martha Davis, Alison P. Martinez, Bob Gaines, Jennifer Wellington-White, Marguerite Kearns

The Meeting started at 12:45 p.m. with silence.

(1.)  Minutes for the Fifth Month: Friends approved the minutes as amended with the addition of a sentence clarifying discussion of “. . . a possible transfer of the sum of $4,000 from the Maintenance Fund to the General Fund, the same amount which had been transferred from General to Maintenance several years ago when the General Fund was comfortable and the Maintenance Fund was low.”

(2.)  Worship Groups: Attendance is erratic in the summer months. The monthly simple supper in South Santa Fe will resume in October. SSQWG continues to meet each First Day and is growing in numbers. After meeting there is a Peace and Social Concerns discussion along with refreshments. A Thursday evening discussion group at 6:30 focuses on living simply during hard economic times. Clearlight is tracking down addresses for attenders and Las Vegas continues with a specific calendar of events.

(3.) Resident’s Report and Garden Committee:  Friends approved the Resident’s Report presented by Kathleen Burke. May has been slow in the Guest Apartment, with a reported income of $565. Kathleen Burke worked 50 hours during May. An updated Meeting web page has made a significant difference in spreading the word regarding the existence of the Guest Apartment. An ad in the “Western Friend” is planned, in addition to the ongoing ad in “Friends Journal.” The Meeting phone message also includes mention of the Guest Apartment.

Work of the Garden Committee is ongoing on Saturday mornings. There was discussion of the wood pile, its use and value. Resident Kathleen Burke will work out details of the wood pile and future plans for it in conjunction with the Garden Committee.

(4.)  Earth Care Committee: Pete Gardner was acknowledged for volunteering to take hazardous waste to an appropriate facility. The City of SF will take old TVs for a $5 fee. Friends approved the report for the Earth Care Committee presented by Mary Ray Cate. An Eco Open House will be held on Sunday, July 12, 2009, 1-4 p.m. at the home of Mary Ray Cate, 1677 Cerro Gordo #3.

(5.)  First Day School Committee: Friends accepted the brief report of the First Day School Committee which noted that there will be a program for young people every First Day this summer.

(6.)  Treasurer’s Report: Friends accepted the report of the Treasurer as presented (see attachment) and expressed gratitude to Bob Gaines for his hard work as treasurer over the past two years. The report noted that after five months of the year, only one quarter of the donations were received that are needed to meet the budget for the year. The total cash in the bank is about the same as last year because of ongoing additions to the Maintenance Fund.

(7.)  Finance Committee: No report except the acknowledgment of two new members: Jennie Crystal and Lee Carter.

(8.)  Interfaith Leadership Alliance: There will be a block party in August, at which time Carolyn Stephenson will be coordinator for the Santa Fe Meeting.

(9.)  Ministry and Oversight: Friends approved and accepted the M&O report and warmly welcomed Guthrie Miller as a new member. A clarification was necessary relative to the process of bringing actions to Business Meeting, in particular a recommendation that Business Meeting revisit guidelines for Nominating Committee so that the work doesn’t fall on the shoulders one person.  Jennifer Wellington-White, David Henkel and Kathleen Burke will confer and make a recommendation to Business Meeting relative to Nominating Committee. They will do this by revisiting the Nominating Committee guidelines, a full set of which was created and accepted by BM in 2006.
The query for the Seventh Month will be: “How do we wait for the spirit in ourselves or in others to speak?”

M&O will meet regularly on first First Days rather than second First Days, at 9:15 a.m. Members and attenders wishing to meet with the Committee with concerns may attend at 10 a.m. (if possible, provide the M&O clerk with notice of intention to attend). A space available for wheelchairs in the Meeting room was addressed. M&O will take over the responsibility of rotating the responsibility of the breaking of Meeting.

(10) Building Committee: Friends accepted the report of the Building Committee. In addition to interior work in the Meetinghouse, there has been some maintenance on chairs. Work on the phone line in the Guest Apartment is almost complete. Photos of the Ramada (Casita) and main Olive Rush Studio building (now the Meetinghouse) in the Smithsonian (the American Art Collection) were compared, now and in the 1960s. Two boxes of books donated by John E. Grover of Santa Fe, a former Friends Church pastor from the mid west, were accepted, including an old copy of the “Journal of George Fox,” which is being studied for its value and where it should be appropriately housed.

(11) Peace and Social Concerns: Friends approved the endorsement of a Committee of Inquiry relative to concerns about torture and putting up another sign with a new message that is available from the National Religious Campaign Against Torture. The message is: “End Torture Forever. Investigate. Legislate.” Friends approved the purchase and erection of a new banner with this message. Friends also are also promoting a film event “Taxi to the Dark Side,” to be announced in the Meeting digest, a speech by Charlie Clements, also to be announced in the digest, as well as a formal letter to Congressman Lujan, with copies to the Journal and New Mexican. A newly-formed Peace and Social Concerns Committee at Southside Santa Fe Friends will be contacted to find out how it might be able to work with the Santa Fe Meeting.

(12) Nominations: Friends approved a list of nominations as presented. There was a second reading in some cases of nominations and a third reading for others. (List attached below.)

In other matters, Jennifer Wellington-White was formally thanked for her services as Clerk for the past two years, an awareness and acknowledgment that began at the rise of Meeting.  And freshly-baked oatmeal cookies shared by Mary Ray Cate were noted and appreciated.

The meeting ended with silence at 2:35 p.m. The minutes of Business Meeting for the Sixth Month are respectfully submitted by Marguerite Kearns, Recording Clerk.
